Online Booking or a Booking Assistant: Does a Physio Clinic Need Both?

October 2026· 8 min read
Physio Clinics
Both
Booking Page + Assistant

Key Takeaways

  • Your online booking page is the checkout. It suits patients who already know the practitioner, the appointment type and roughly when they want to come in.
  • A booking assistant serves the patients who are not there yet: the ones with a question about referrals, fees, parking or which physio to see, who might otherwise leave the page and call later, or never.
  • In a 2024 CommBank survey of 1,127 Australians who had seen a health provider in the past year, 59% had used online booking systems, and 19% had delayed or cancelled an appointment because the booking process was too difficult.
  • How the assistant finishes depends on your practice software. With Cliniko, Nookal or Gensolve it books inside the chat once the patient confirms. With Halaxy it shows live times and the patient finishes on your Halaxy booking page. With other systems it links to your booking page.
  • It will not diagnose, will not state fees or rebate rules your site and practice software do not show, and will not cancel or move appointments unless you switch that on.

Most physio clinics need both: keep your online booking page for patients who know what they want, and add a booking assistant for the ones who have a question first. The booking page is a form, and forms are quick when every choice is obvious. A patient who is unsure whether they need a referral, which appointment type to pick or which physio sees running injuries has nobody to ask on that page. An assistant answers from your own website and then books them, shows them live times, or sends them to the same booking page. Here is how the two fit together, and where each one stops.

What does an online booking page do well?

It gets a decided patient from "I want to book" to "booked" in a few taps, at any hour.

Cliniko, Nookal, Gensolve and Halaxy all offer one [1][3][4][5]. Cliniko's, for example, lets patients choose from your locations, practitioners and appointment types, then offers times in the morning, afternoon and evening based on your schedule. It collects basic details to match the patient to an existing record or create a new one, and can take payment at the time of booking [1].

Patients use these pages. In CommBank's 2024 Patient Experience Insights survey of 1,127 Australians who had seen a health provider in the past year, 59% had used online booking systems [2].

For a returning patient booking their next standard consult with the physio they always see, a booking page is close to ideal. They know the practitioner, they know the appointment type, and they only need a time. Nothing in this article is a reason to take that page down.

Which patients does a booking page leave behind?

The ones who are not sure yet. A booking page asks questions; it cannot answer any.

Picture a new patient with a sore knee, at 9pm. Before they pick a time, they want to know:

  • Do I need a GP referral, and can I claim through my health fund?
  • Is this an initial consult or a standard one, and how long is it?
  • Which physio sees running injuries? Do you see teenagers?
  • How much is it, and is there parking?

If the answers are spread across four pages, or only available by phone, some of those patients will leave. In the same CommBank survey, 19% of patients said they had delayed or cancelled an appointment because the process to book was too difficult [2]. That is not all lost to unanswered questions, but a booking flow that leaves people guessing is part of what "too difficult" means.

These patients are also the ones you most want. A new patient with an injury is the start of a treatment plan, not a single visit.

What does a booking assistant add?

A conversation before the form, and then the booking itself.

A website assistant such as QuackChat answers from the pages it has read on your site: your services, fees, referral and rebate information, location and hours. When the patient is ready, it moves straight to times, without sending them off to start again somewhere else.

With a practice system connected, it can answer the questions a booking page makes the patient work out for themselves:

  • "Who can see me soonest?" It reads the earliest opening for each practitioner, rather than making the patient click through calendars one at a time.
  • "Anything Tuesday afternoon?" It searches the window the patient names.
  • "Is this my first visit?" It distinguishes initial consultations from follow-ups when it checks availability.

Patients seem open to this. CommBank's survey found that among possible uses of AI in health settings, patients were most comfortable with it helping to schedule appointments [2]. Scheduling is logistics, and logistics is exactly where an assistant belongs.

How does the assistant finish the booking with your practice software?

It depends on what your system's API allows. QuackChat works at three levels:

Practice softwareWhat the assistant does
Cliniko, Nookal, GensolveChecks live availability and books inside the chat once the patient confirms. A new patient fills in a short intake form that creates their record first
HalaxyShows live open times for the coming week, then sends the patient to your Halaxy booking page to finish. It never books into Halaxy
Other systemsAnswers questions, then links to your existing booking page

On Cliniko, the assistant only offers the practitioners and appointment types you have marked for online bookings, so it follows the same rules as your booking page. If you keep long initial assessments phone-only, they stay phone-only in the chat too.

For the detail on each system, see Cliniko, Nookal, Gensolve and Halaxy, or the overview of how live booking works inside the chat.

Why does the patient confirm before anything is booked?

Because an appointment in your calendar is a commitment, and only the patient should make it.

When the assistant has a time, practitioner and appointment type, it shows the patient a confirmation card with Confirm and Cancel buttons. No appointment is written to your practice software until the patient taps Confirm. (A new patient's record is created earlier, when they submit the intake form themselves.) The same rule applies to cancelling and rescheduling, where those are switched on.

This matters most for the patient who was unsure. They have just asked three questions, compared two practitioners and picked a time. The card puts all of it in one place so they can check it before it becomes real.

It also covers the bad day. If the connection to your practice software is down, the assistant has no booking tools that turn, so it is instructed never to say it has booked, moved or cancelled anything. It points the patient to your booking link or to contacting the clinic instead.

What will a booking assistant not do?

Three things, and they are the reason a clinic can trust it with a 9pm patient.

It will not give medical advice. QuackChat's instruction not to diagnose, recommend treatment or tailor advice to an individual sits in a part of the prompt your own settings cannot change. It can repeat what your site says about the conditions you treat, then help the patient book.

It will not state business facts you have not published. Fees, rebates, funder and referral rules, age limits and who works where are stated only when they appear on your site or come back from your practice software. If they do not, it says the team can confirm. Our guide to what your clinic website should say covers which answers to publish.

It will not move or cancel appointments unless you switch it on. Cancelling and rescheduling are available for Cliniko, Nookal and Gensolve only, and stay off until you turn on patient notification emails for them. Even then, the patient verifies their name, phone and date of birth first.

Do the two compete for the same bookings?

No. They feed the same calendar.

A booking the assistant makes on Cliniko, Nookal or Gensolve lands in your practice software like any other appointment, in a slot your system reported as free when the patient asked. Your online booking page reads that same calendar. On Halaxy and other systems the assistant does not book at all; it sends the patient to your booking page, which then does the job it always has.

The better way to think about it is who each one serves. Returning patients who know what they want will keep using the booking link in your reminder emails and on your home page. Patients who arrive on your services, fees or FAQ pages with a question are the ones the assistant catches, because that is where their questions start.

So keep your "Book now" button exactly where it is. The assistant sits beside it for the patients who are not ready to press it yet.

How do you run both side by side?

A short setup list:

  1. Check your online booking settings first. Which practitioners and appointment types are bookable online? The assistant follows the same choices on Cliniko, so decide them once.
  2. Publish the answers patients ask before booking. Fees, referrals, health fund and Medicare information, parking, and which practitioner sees what. An assistant can only answer from what your pages say.
  3. Connect your practice software. Each system needs API access credentials from your practice account. See the setup guides for Cliniko, Nookal, Gensolve and Halaxy.
  4. Keep your booking link on the site. It is the assistant's fallback, and it is still a quick path for decided patients.
  5. Test it as a new patient. Ask about a referral, ask who is free soonest, and book a test appointment. Check it in your calendar, then cancel it there.

Frequently Asked Questions

If my clinic already has online booking, why add a booking assistant?

Because a booking page only works for patients who already know what to book. An assistant answers the questions that stop undecided patients, such as referrals, fees and which practitioner to see, then books them or sends them to your booking page.

Can a booking assistant book directly into my practice software?

With Cliniko, Nookal or Gensolve, yes, after the patient confirms on a confirmation card. With Halaxy it shows live open times and the patient finishes on your Halaxy booking page. With other systems it links to your existing booking page.

Should I remove my online booking page?

No. It is still a quick path for returning patients who know what they want, and it is where the assistant sends patients whenever it cannot book for them, such as on Halaxy or when your practice software cannot be reached.

Can patients cancel or reschedule through the assistant?

Only on Cliniko, Nookal or Gensolve, and only if you switch on patient notification emails for cancellations and reschedules. Both are off by default, and the patient must verify their name, phone and date of birth first.
